Using Quotes in Xero to Win and Track Trade Jobs

This is part of our Invoicing and Getting Paid series (Chapter 2 of the Xero tutorial hub):

If you are quoting jobs before you win them, Xero quotes save you from re-entering everything again once the job is confirmed.

1. Create a new quote

From the Business menu, select Quotes and create a new one for your customer, adding line items the same way you would for an invoice.

2. Send it for approval

Send the quote directly from Xero. Clients can view and accept it online, which gives you a clear record of when it was approved.

3. Convert it straight to an invoice

Once a quote is accepted and the job is done, you can convert it directly into an invoice with one click, rather than retyping everything.

4. Track what is pending, accepted, or declined

Your quotes list shows the status of everything you have sent, so you can follow up on anything sitting unanswered.

For a demo of the quoting workflow, check Xero’s official YouTube channel: watch the official Xero tutorial. Our tradie bookkeeping team can help you set quote templates up properly from the start.
