Setting Up Recurring Invoices and Reminders in QuickBooks

This is part of our Invoicing and Payments series (Chapter 2 of the QuickBooks tutorial hub):

  • Lesson 1: Creating and Sending Invoices in QuickBooks
  • Lesson 2: Using Progress Invoicing in QuickBooks for Staged Jobs
  • Lesson 3: Accepting Online Payments in QuickBooks
  • Lesson 4: Setting Up Recurring Invoices and Reminders in QuickBooks

If you bill the same client regularly, recurring invoices save you recreating the same invoice every time.

1. Setting up a recurring template

From an existing invoice, save it as recurring and set the frequency, such as weekly, fortnightly or monthly.

2. Auto-send or review first

You can have recurring invoices send automatically, or sit as drafts for you to check first while you build confidence in the setup.

3. Setting up payment reminders

Automated reminders can be set to follow up on overdue invoices without you needing to chase manually.

4. Reviewing your recurring list

Check your list of recurring invoices every so often to make sure nothing outdated is still running.

QuickBooks Australia’s YouTube channel covers recurring invoices: youtube.com/@QuickBooksAU. Our offsite bookkeeping service can help set these up correctly.
