How Dext Prevents Duplicate Bill Entries

This is part of our Automating Your Bookkeeping series (Chapter 3 of the Dext tutorial hub):

  • Lesson 1: Setting Up Supplier Rules in Dext to Save Time
  • Lesson 2: Using Line Item Extraction in Dext for Detailed Cost Coding
  • Lesson 3: How Dext Prevents Duplicate Bill Entries

Double entering a bill is an easy mistake to make, especially if a supplier emails an invoice and you also grab a paper copy on site.

1. How duplicate detection works

Dext compares new documents against previously processed ones, flagging anything that looks like a repeat.

2. Reviewing a flagged duplicate

When something is flagged, it is worth a quick check to confirm it is genuinely the same document rather than a similar but separate charge.

3. Why this matters beyond tidiness

Duplicate entries can overstate expenses and GST credits claimed, which is a genuine compliance issue, not just a cosmetic one.

4. Trusting the system, but verifying occasionally

Duplicate detection is reliable, but it is still worth a periodic check of your expense reports for anything that looks doubled up.

Dext’s Help Centre covers duplicate detection: watch the official Dext tutorial. Our registered BAS agents check for this as part of our regular review process.
