Emailing Receipts and Bills into QuickBooks

This is part of our Banking, Receipts and Reconciliation series (Chapter 3 of the QuickBooks tutorial hub):

  • Lesson 1: Connecting Your Bank Feed to QuickBooks
  • Lesson 2: Categorising and Reconciling Transactions in QuickBooks
  • Lesson 3: Using Receipt Snap in QuickBooks to Capture Receipts
  • Lesson 4: Emailing Receipts and Bills into QuickBooks

Not every bill arrives as a paper receipt, and QuickBooks lets you forward documents straight in by email.

1. Finding your QuickBooks forwarding email

Every QuickBooks account has a unique email address you can forward supplier invoices to directly.

2. Setting up automatic forwarding rules

If a supplier always emails invoices to the same address, a forwarding rule in your inbox can send them straight through automatically.

3. Reviewing forwarded documents

Forwarded documents still need reviewing and categorising like any other captured receipt.

4. Keeping your process consistent

Using the same method for the same type of supplier keeps your workflow predictable rather than juggling several different habits.

QuickBooks Australia’s YouTube channel covers email capture: youtube.com/@QuickBooksAU. Our remote bookkeeping team can help set up forwarding rules for you.
