Managing Users and Permissions in QuickBooks

This is part of our GST, BAS and Reporting series (Chapter 5 of the QuickBooks tutorial hub):

  • Lesson 2: Preparing and Lodging BAS from QuickBooks

As your team grows, getting user access right protects your data and keeps your bookkeeper working in the file directly.

1. How many users each plan includes

Simple Start includes one user, Essentials three, and Plus five, so it is worth checking this matches your team size before committing to a plan.

2. Inviting a new user

Under account settings, invite a new user by email, who then sets up their own login.

3. Choosing the right permission level

QuickBooks offers different access levels, so staff and your bookkeeper only see what is relevant to their role.

4. Reviewing who has access

Check your user list periodically and remove access for anyone who no longer needs it.

QuickBooks Australia’s YouTube channel covers user management: see the official Getting Started playlist. If you would like our registered BAS agents added to your file, we can talk you through the right access level.
