Adding Users and Setting Permissions in Xero Safely
This is part of our Reports, Users and Add-ons series (Chapter 7 of the Xero tutorial hub):
- Lesson 1: Key Reports Every Xero User Should Check Regularly
- Lesson 2: Using Tracking Categories in Xero for Job Level Reporting
- Lesson 3: Adding Users and Setting Permissions in Xero Safely
- Lesson 4: Connecting Job Management Apps to Xero via the App Store
As your team grows, or you bring in a bookkeeper or accountant, getting user permissions right protects both your data and your business.
1. Inviting a new user
Under organisation settings, you can invite a new user by email, who then sets up their own login.
2. Choosing the right permission level
Xero offers different access levels, from full access down to read-only or invoice-only access, so staff only see what is relevant to their role.
3. Adding your BAS agent or accountant
Giving your registered BAS agent adviser-level access lets them work in your file directly without needing your personal login shared around.
4. Review who has access periodically
It is worth checking your user list every so often and removing access for anyone who no longer needs it, such as a past employee.
Xero’s official YouTube channel covers user permissions: watch the official Xero tutorial. If you would like our registered BAS agents added to your file, we can talk you through the right access level.
We'll only use it to follow up on your feedback \u2014 never for anything else.
