You know you need one, but if someone asked you exactly what a bookkeeper does with your numbers every week, could you actually answer? Most business owners can’t, and that’s completely normal. Here’s what’s actually happening behind the scenes, and why it’s the kind of thing worth handing to someone else so your weekends go back to being weekends.

Most business owners hire a bookkeeper because someone told them to, not because they actually know what the job involves. Fair enough, you’re busy running the actual business. Here’s what’s happening on the other side.
Every transaction gets sorted into the right box. Every sale, every expense, every transfer between accounts gets recorded and categorised, rent in one bucket, fuel in another, subscriptions in a third. It sounds simple until you’ve got hundreds of transactions a month and half of them are vaguely labelled by your bank as “EFTPOS PURCHASE.” Figuring out what each one actually was, and where it belongs, is a big chunk of the work, and it’s exactly the kind of task that eats a Sunday afternoon if you’re doing it yourself.
Your bank account gets matched against your books. This is called reconciliation, and it’s essentially double-checking that what your accounting software says happened actually matches what your bank says happened. Missing this step is how businesses end up with numbers that look fine on screen but don’t reflect reality.
GST gets tracked, ready for your BAS. Every transaction that includes GST needs to be coded correctly so that when your BAS is due, the figures are already sitting there accurately, rather than being reconstructed under time pressure the weekend before it’s due. Get this wrong consistently and it either costs you money at BAS time or creates a headache if the ATO ever asks questions.
Reports get pulled together so you can actually see how you’re doing. A profit and loss report, a look at what clients owe you, a read on where your cash actually stands, these come out of properly kept books. Without this, you’re running the business on gut feel rather than actual numbers.
Payroll, if you’ve got a couple of staff or a small crew, happens on schedule. Wages, tax withheld, superannuation, all of it needs to be calculated correctly and reported to the ATO.
