Managing Supplier Bills and Payments in Xero

This is part of our Expenses and Data Capture series (Chapter 4 of the Xero tutorial hub):

  • Lesson 1: Capturing Receipts and Bills with Hubdoc in Xero
  • Lesson 2: Setting Up Supplier Rules in Hubdoc
  • Lesson 3: Managing Supplier Bills and Payments in Xero
  • Lesson 4: Recording Employee Expense Claims and Mileage in Xero

Keeping on top of what you owe suppliers is just as important as keeping on top of what clients owe you.

1. Enter a bill as it arrives

Under the Business menu, select Bills to Pay to enter a new bill, either manually or via Hubdoc capture.

2. Schedule when it gets paid

Set the due date so you have a clear view of what is coming up, rather than discovering it when a supplier chases you.

3. Paying multiple bills at once

Xero lets you select several bills and process them together as a batch payment, saving time compared to paying one at a time.

4. Keeping an eye on upcoming outflows

Your bills to pay list doubles as an early warning system for upcoming cash flow pressure, worth checking weekly alongside your bank balance.

Xero’s official YouTube channel covers managing bills: watch the official Xero tutorial. Our tradie bookkeeping service can help you build a simple weekly routine around this.
