Hiring staff changes the bookkeeping workload. Payroll now has to reflect the hours worked, pay rates, leave, employee details and the records your business needs to keep. The more people and pay arrangements you have, the more important it is to make the process repeatable.
Set a consistent cut-off for timesheets and changes, confirm who approves hours, and check employee and bank details before the pay run. Keep a record of adjustments and corrections. If staff work different patterns or allowances, make sure the payroll setup matches the terms that apply to their roles.
Compare the payroll report with approved hours and changes, then reconcile the payment against the bank account. Review leave balances and payroll liabilities regularly. When something does not match, investigate it before the next cycle rather than carrying the difference forward.
Put reporting and super payment dates in the business calendar and confirm who prepares, reviews and submits each item. Award coverage and employee classifications can be complex; check the applicable Fair Work guidance or get advice when a role or pay arrangement changes. Our Payday Super guide covers the current super payment process.
A small team may be manageable with an owner reviewing the payroll each cycle. As the number of employees, pay types or locations grows, consider whether a bookkeeper or payroll specialist should prepare the run and reconcile the records. Agree on who approves payments and who handles corrections.
If payroll is taking more time or is hard to check, see our bookkeeping and payroll support or talk with our team about a suitable process.
We'll only use it to follow up on your feedback \u2014 never for anything else.
